SPARKBYTES/OUR WORK/NHAM ANNUAL SCIENTIFIC MEETING

A scientific meeting platform
for cardiologists nationwide

NHAM Annual Scientific Meeting Platform
OVERVIEW

One platform to run NHAM's flagship scientific meeting, from abstract to programme to badge.

The National Heart Association of Malaysia runs the country's largest cardiology congress. Each cycle had been delivered through a stack of disconnected tools — a basic registration form, abstracts handled over email, sponsored ticket allocations tracked in spreadsheets, and badges produced manually.

We built a single platform that handles the full conference lifecycle: a four-step structured abstract submission wizard, multi-tier ticket purchasing for registered, sponsored, and add-on access, a corporate dashboard for sponsors to purchase and manage doctor sponsorships, a unified orders & access view, on-site check-in with badge generation, and a live delegate dashboard for the meeting itself.

The first cycle on the new platform ran without a missed reviewer deadline, with abstracts flowing directly into the scientific programme and a significant reduction in administrative workload across the secretariat.

THE WORK

Where we started, and
where we ended up.

Challenge

NHAM's secretariat was running a national-scale congress on tools never built for it.

  • Abstract submissions handled over email, with no audit trail or reviewer scoring
  • Sponsored ticket allocations and group orders tracked in spreadsheets
  • Delegate data spread across registration, badge printing, and the on-site team
  • No centralized corporate dashboard to manage sponsored delegates & allocations

Solution

One platform with shared data, built around how a scientific congress actually works (not a generic events tool).

  • Four-step abstract wizard: Type → Authors & Co-authors → Content → Preview & Confirm
  • Ticket flows for registered, not-yet-registered, sponsored, and add-on scenarios
  • Single delegate record from purchase through badge to post-event reporting
  • Corporate dashboards for sponsored delegate management

WHAT WE BUILT

Six modules. One congress.

01

Registration & ticketing

Multi-scenario ticket flows — not-yet-registered, registered, sponsored main tickets, and add-on tickets — with member rates, group orders, and invoicing for sponsoring organisations.

Multi-tierSponsored
02

Abstract submission

Four-step structured wizard — Abstract Type, Authors & Co-authors, Abstract Content, Preview & Confirm — with presenter rules, co-author search, and a clear submitted/under-review status badge.

WizardAudit trail
03

Multiple access & orders

A single view across every order a delegate has — main tickets, sponsored access, and add-ons — with event access status surfaced clearly so the secretariat can answer queries in seconds.

04

On-site check-in

QR check-in with on-demand badge printing, a walk-in fallback, and a supervisor view to handle edge cases without breaking the queue.

KioskBadge print
05

Delegate dashboard

Personalised programme, abstract status, ticket and access overview, and faculty profiles — served as a responsive web dashboard with no app-store hurdle for delegates.

ResponsivePersonalised
06

Corporate Dashboard

Dashboards for sponsoring partners to purchase and manage doctor sponsorships, with integrated invoicing and delegate management.

ReportingSponsors
For the first time, our scientific committee, secretariat, and on-site team were running on the same data. The platform took an enormous load off every part of the cycle.
